Facilities Coordinator
The Facilities Coordinator is responsible for overseeing all aspects of ICYA and Step Up Construction’s facility and fleet operations to ensure safe, efficient, and well-maintained spaces and vehicles. This position plays a vital role in supporting the ministry by managing building maintenance, fleet logistics, regulatory compliance, and vendor coordination. As a member of the Step Up program, the Facilities Coordinator contributes to hands-on construction activities while discipling crew members within the program as needed by the Step Up Construction Manager.
The Facilities Coordinator reports to the Director of Operations.
Key Responsibilities
Fleet Maintenance and Management
Develop and implement a preventive maintenance program for ICYA and Step Up Construction vehicles and equipment. Keep accurate and detailed information digitally on all vehicles and maintenance schedules.
Conduct and oversee regular inspections, servicing, and repairs.
Track vehicle and equipment usage to maximize efficiency and minimize downtime.
Ensure regulatory compliance, including licenses, registrations, and safety inspections.
Request and maintain up-to-date driver abstracts annually for all ICYA and Step Up drivers.
Enforce vehicle safety policies and support driver training.
Facility Maintenance
Oversee the physical upkeep of buildings at 418 Aberdeen Avenue and 101 Salter Street, including addressing vandalism and security breaches.
Supervise and coordinate cleaning, repair, and general maintenance tasks.
Optimize the use of physical space to support programming and staff wellbeing.
Implement and monitor security measures and emergency protocols.
Collaborate with the Step Up team to ensure that all ICYA properties are cleared of snow in a timely manner during the winter months.
Vendor and Compliance Management
Partner with the Director of Operations to negotiate and manage vendor contracts for services and supplies.
Evaluate vendors for quality and cost-effectiveness.
Ensure facilities and operations comply with all relevant codes, regulations, and best practices.
Collaboration
Work with various departments to assess facility needs and deliver appropriate solutions.
Collaborate with ICYA and Step-Up leadership to ensure facility operations align with organizational goals.
Provide supervision and support for ICYA’s custodian, ensuring their well-being and offering guidance in their daily tasks, while assisting with basic human resource inquiries such as time-off requests and scheduling.
Spiritual and Organizational Alignment
Operate within ICYA’s Lifestyle and Morality Commitments.
Maintain a personal spiritual life through Scripture reading, prayer, retreats, and mentorship/accountability.
A desire to vocational disciple and mentor young men in work and life skills.
Participate in support-raising through ICYA’s Unity Fund and maintain regular communication with supporters.
Reporting & Evaluation
Submit daily reports and weekly summaries of completed and ongoing tasks.
Use Construction Clock on your phone to track hours at each site for budgetary accuracy.
Participate in regular supervision and evaluation meetings with the Director of Operations.
Flexibility is essential, as this role may require adapting to new tasks and responsibilities beyond the standard responsibilities.
Qualifications
Minimum 3 years of experience in facility or fleet management, preferably in a nonprofit or ministry setting.
Strong knowledge & experience of vehicle and building maintenance systems.
Experience with vendor negotiations and compliance monitoring.
Proficient in using maintenance tracking systems and tools (Construction Clock or similar).
Valid Class 5 Driver’s License; Class 4 preferred.

Fundraising Requirements – Unity Fund Model:
For many ministry leadership roles, fundraising is often necessary before starting work. ICYA has shifted from this traditional approach to a collaborative, organization-wide model called the Unity Fund, launched in 2022. This fund pools all staff-directed support into a shared resource for all staff members.
Staff members participate in support-raising, with individuals still praying and financially contributing directly to your support account.
Fundraising responsibilities are minimal and do not take up a significant amount of time.
Each quarter, you will be required to write letters with ministry and prayer updates to your chosen supporters, such as church communities, family, and friends.
The fundraising you do covers a portion of your salary, while most of the fundraising for salary, program, and operational costs are managed by our Development Team.
Salaries are based on a standardized grid reflecting role, experience, and education, not on individual fundraising efforts.
There is no requirement to reach a minimum financial amount before starting work.
All staff help do fundraising for two main reasons:
To build a team of supporters to have your back in prayer and encouragement.
To help raise funds so we can hire more local leaders from the community, many who do not have networks for support.

Finance Manager
The Finance Manager is responsible for overseeing all aspects of ICYA’s financial operations, ensuring the organization’s resources are stewarded with excellence, transparency, and alignment with our Christ-centered mission. This includes strategic financial planning, budgeting, compliance, internal controls, reporting, and supporting fundraising efforts. The Finance Manager plays a key leadership role in advising senior leadership and the Board on financial matters, while integrating biblical stewardship and values into all financial practices.
The Finance Manager reports to the Director of Operations.

Ensure compliance with charitable law, specifically in tax receipting.
Team Leadership
Supervise the Bookkeeper and Finance Assistant, fostering both professional and spiritual growth.
Provide financial training and guidance to ministry team leaders to support informed budgeting and planning.

Qualifications
A committed Christian who affirms and lives in accordance with ICYA’s Lifestyle and Morality Agreement.
Bachelor’s degree in Accounting, Finance, or related field (CPA or master’s degree preferred).
Minimum of 7 years’ experience in financial management, including 3+ years in a leadership role.
Nonprofit finance experience, including knowledge of fund accounting and donor-restricted funds.
Proficiency in financial software such as QuickBooks Enterprise, CRM Software, and Fundraising Platforms.
Understanding and knowledge of Indigenous culture and its generational effects on First Peoples in Canada; familiarity with the Truth and Reconciliation Commission’s Calls to Action.
Experience leading healthy teams towards successful outcomes.
Proven ability to develop positive rapport with staff.

Executive Assistant
The Executive Assistant is responsible for supporting the Executive Leadership Team (Executive Director, Director of Programming, and Director of Operations) through high-level administrative support.
This role involves managing schedules, correspondence, and meeting logistics; tracking key deliverables and priorities; and acting as a liaison between the Executive Team and staff or external stakeholders. The Executive Assistant will help coordinate and monitor the team’s workflow and priorities while demonstrating a heart for inner-city ministry.
The Executive Assistant must thrive in a fast-paced, multi-tasking environment, and will play a key role in ensuring ministry efficiency and collaboration across departments. Flexibility is essential, as this role may require adapting to new tasks and responsibilities beyond the standard responsibilities.
The Executive Assistant reports to the Executive Director.
Key Responsibilities
Manage and coordinate the Executive Leadership Team’s calendar, meetings, mail, email, and inbound phone calls.
Assist in booking Board meetings, preparing agendas, recording minutes, and handling Board communications alongside the ED.
Support the ED’s communication with staff, donors, and other external stakeholders.
Monitor upcoming deadlines and follow up on completion of key action items.
Manage expense tracking and reporting for the ED, including credit card reconciliations.
Liaise with internal staff to support the ED’s strategic initiatives, ensuring timely follow-up on tasks and gathering reports.
Assist with the coordination and preparation of staff meetings, retreats, special events, and mailing campaigns.
Edit and format written articles, emails, memos, and reports.
Support donor engagement by scheduling meetings and assisting with correspondence in conjunction with the Director of Development & Executive Director.
Participate in staff onboarding and interview coordination, with HR Manager when requested.
Maintain organized and confidential filing systems (paper and digital).
Provide general administrative support and coverage for ICYA’s general phone/email as needed.
Assist in issuing press releases and promotional materials with the ED and Marketing team.
Serve where needed outside of standard job tasks, especially during ministry seasons such as year-end fundraising.
Qualifications:
